Help
The same how-to pages as the ? button in the app. Still stuck? Email help@settlementbooks.com.
The home screen
What everything on the first screen does.
Getting around
The tabs (Money in, Money out, Compliance, Reports) group everything the app does. The + button in the corner adds the everyday things in one tap: scan a fuel ticket or receipt, enter fuel or an expense by hand, or upload a settlement.
Profits card
The green card shows profit per mile only, so nobody looking over your shoulder sees your dollars. Tap it for profit, gross pay, expenses, the expense chart and the Profit & Loss statement.
Truck and period
The truck picker at the top and the Month / This year / Last year / All buttons change what the home screen and Profits count. Settlements count on their pay date.
Reminders on the home screen
Cards appear at the top when the monthly maintenance report is due or a document is about to expire. Tap one to take care of it.
Search
The magnifying glass searches every fuel ticket, receipt and expense.
Carrier settlements
Uploading the statement your carrier pays you with.
Uploading
Tap Upload Carrier Settlement (or + then Upload a settlement) and pick the PDF your carrier sent. The app reads every load and deduction and checks that the loads add up to gross pay and gross minus deductions equals net pay.
The check screen
Before saving you see the statement number, period, loads, gross, deductions and net, each with a green check when it ties out. Pick the carrier and tap Import settlement.
Posting
After importing, Post to books puts it in your totals. Items worth asking the carrier about are listed; they don't stop posting. Items that must be fixed first (like a missing truck) do.
Pick truck
Some carriers don't print truck numbers. With one truck set up the app uses it; otherwise open the settlement and tap Pick truck. Each driver's answer is remembered for next time.
A carrier the app doesn't know
You'll see "New carrier statement". Tap Teach the app and show it one statement, about 2 minutes. After that it reads that carrier on its own. Or enter it by hand.
Deleting
Open the settlement and tap Delete. An UNDO bar appears for 8 seconds in case it was a mistake.
Teaching a new carrier
Showing the app one statement so it can read the rest.
How it works
The statement's text is shown as words you can tap. You show the app where things are on this one statement, and it uses that for every statement from this carrier.
1. Carrier
Type the carrier's name, then tap the first and last word of its name where it's printed.
2. One load
Tap the first and last word of one load. Then tap words to label them: ticket #, date, miles, line haul, fuel surcharge, total. Leave place names unlabeled. "Found 17 loads" tells you it's working.
3. Deductions
Tap the word just before the first deduction, then label one deduction's description and amount. Switch on "no deductions" if there aren't any.
4. Totals
Tap a row, then tap that number: net pay is required; gross, total deductions and pay date help.
5. Check
Green checks mean everything ties out. If not, go Back and check the labels. You can forget a taught layout in Settings > Carrier statements you taught.
Fuel tickets and fuel tax
Fuel purchases, IFTA and road tax.
Scanning a fuel ticket
Tap + then Scan a fuel ticket and take a photo of the pump receipt. The app reads gallons, price, total and state; check them and save. The photo stays with the ticket.
By hand
Tap + then Fuel ticket by hand for a receipt you don't have a photo of.
Fuel card statements
Import the card statement under Money out to match card purchases to your tickets.
Fuel & road tax
The Fuel & road tax screen totals gallons and miles by state for IFTA, or weight-distance tax, depending on what you picked in Settings > Business & tax.
Repairs and expenses
Everything you pay for that isn't fuel.
Adding one
Tap + then Scan a receipt (repairs, parts, tires, supplies) or Expense by hand. Pick the category, the truck or trailer, and how it was paid. For repairs, parts and tires, enter the odometer; it prints on the maintenance report.
Maintenance with no receipt
Tap + then Add maintenance for work like greasing the truck or fixing an airline. The cost and a receipt photo are optional. With no cost it goes on the maintenance report but not in your expenses.
Who did the work
Every repair, maintenance and tire entry asks who did the work: you, a driver, or the shop. Tap a name to fill it in. It prints on the maintenance report.
Items purchased
List what you bought (parts, grease, fittings). It's kept for your records and taxes, shows in Search & History and the CPA package, and stays off the maintenance report.
Truck vs trailer
Pick the trailer for trailer work. It still shows on the same maintenance report.
Trailer not listed
Tap Add or swap a trailer under the truck or trailer picker, or go to Settings > Trailers. A rented or new trailer can be added any time.
Fixing or deleting
Tap the entry in Recent Entries or Search to edit it or delete it (with UNDO).
Bank and card statements
Matching your statements to what's in the app.
Importing
Under Money out, open Bank Statements and import the CSV or PDF your bank provides.
Swiping
Each line waits to be sorted: match it to a receipt, give it a category, or mark it personal. The home screen tells you how many are waiting.
Removing a statement
Long-press a statement to remove it. Its lines come out and anything booked from them is undone. UNDO is available for 8 seconds.
Profits, P&L and charts
Where your money comes from and goes.
Profits screen
Net profit, gross pay, expenses and per-mile numbers for the period and truck you pick. The Fixed / Monthly tab shows your recurring bills.
Where the money goes
A chart of expenses by category or by month. Tap a slice to see the entries in it.
Profit & Loss statement
Monthly, quarterly or yearly, with the arrows to move between periods. Print it, save it to the phone or email it to your CPA as a PDF. Your logo prints at the top if you set one in Settings.
Monthly bills
Bills paid outside the settlement: insurance, phone, truck payments.
Adding one
Add each bill once with its amount and the day it's paid. The app books it every month on its own, so it shows in your profit without entering it again.
Loans
For a truck or trailer payment, enter the interest part too; only interest is an expense, the rest pays down the loan.
Card statements
A bill already booked here is skipped when it shows up on a card statement.
Stopping
Stop keeps the months already booked; Delete can take them out too. UNDO is available after either.
Deadlines & renewals
Registration, insurance, inspections, medical card, 2290.
Adding one
Add each document with its expiry date and the truck, trailer or driver it belongs to.
Reminders
The phone reminds you 30, 20, 10 and 5 days before it expires. Change the time or turn them off in Settings > Reminder settings.
Renewed
When you renew, tap Renewed and pick the new expiry date; reminders start over for the new date.
Monthly maintenance report
The DOT maintenance report your carrier asks for.
What it is
Every repair and maintenance expense for the month, by truck and trailer, laid out for 49 CFR 396.3 records.
Sending it
Open the report for last month and email it to your carrier, then mark it sent.
Sending receipts
Turn on Send receipts with the report and the month's receipt photos go in a second PDF on the same email, one receipt per page with the date, truck and work. The app remembers the choice.
Reminders
From the 1st, a reminder comes back each morning until the report is sent. Set the time and how many clears it takes in Settings > Reminder settings.
Driver payroll
Paying hired drivers from the settlement (Fleet plan).
Pay rates
Set each driver's percent of line haul and wait-time rate under Drivers & pay rates. Usual driver pay sets what new drivers start with.
Running payroll
Payroll is built from each imported settlement. Add extra pay or deductions on a driver's card, then Post and Mark paid.
Pay stubs
Print, save or email each driver's stub as a PDF.
Year-end
Year-end totals add up each driver's paid pay for 1099-NEC or W-2.
Per diem
Days away from home for the meals deduction.
Adding a trip
Enter the driver and the first and last day away. Partial days count at 75%.
Tax only
Per diem is a tax deduction, not money spent, so it's left out of your profit numbers.
Sending to your CPA
The quarterly package and year-end totals.
Quarterly package
A PDF summary and an Excel workbook with every entry for the quarter, ready to email to your CPA or bookkeeper.
Year-end driver totals
Each driver's yearly pay for 1099-NEC or W-2, as a PDF and Excel.
Your logo
Set a business logo in Settings and it prints at the top of these PDFs.
Search & History
Finding any fuel ticket, receipt or expense.
Searching
Type a vendor, amount, note or category. Filter by kind and date range; totals show at the top.
Opening one
Tap a result to see or edit it.
Uploaded Documents
Every settlement, statement and receipt photo, opened again.
Finding one
Home > Money in > Uploaded Documents. Pick a kind (settlements, bank statements, card statements, fuel receipts, repair receipts) to see every one, newest first.
Opening one
Tap it. A settlement opens its details (loads, deductions, posting) and a bank statement opens its lines. Card statements open the file you uploaded, and receipt photos open full screen; pinch to zoom.
Settings
Your business, money, reminders, backup and look.
Your business
Business & tax, plan, trucks and trailers, business logo and carrier. Each opens on its own.
Trailers
Add a trailer, put it on a truck, swap trailers, or mark one sold or returned, any time. Repairs stay with the trailer they were done on, so old maintenance reports don't change.
Money
Bank account and cards, and monthly bills.
Reminders
Turn reminders on or off, pick the time of day, and set how many clears the maintenance reminder takes.
Theme
Pick one of five color themes, and dark (the default), light, or match the phone.
Back up my data
Saves everything (books and receipt photos) to one file. Pick Google Drive so it's safe if the phone is lost. Restore puts it back on a new phone.
