Privacy Policy

SettlementBooks is a bookkeeping app for owner-operators and small trucking fleets. This policy explains what the app and this website do with your information. The short version: your books stay on your phone, and we don’t collect them.

What the app stores, and where

Everything you enter or import is stored only on your phone, inside the app’s private storage. That includes:

• Your business details (name, business type, MC/DOT numbers) and your trucks, trailers and carrier.
• Carrier settlements, loads and deductions you upload.
• Fuel tickets, expenses, maintenance entries and the receipt photos you take.
• Bank and card statement lines you import. The app keeps only the last 4 digits of cards and accounts, never full numbers.
• Drivers’ names and pay, if you use payroll. The app does not ask for Social Security numbers or EINs.

The app has no account or sign-in, and we do not have a server that receives this information. We can’t see, access or recover your books.

Camera, photos and files

The app uses the camera (or photos you pick) to capture receipts, and reads PDF and CSV files you choose. Receipt text is read by Google ML Kit text recognition, which runs on your phone; your photos and their text are not sent to us. ML Kit may send Google basic diagnostic information about how the recognizer is running, as described in Google’s ML Kit terms.

Notifications

Reminders (maintenance report, document deadlines) are scheduled on your phone. No reminder information leaves the device.

When information leaves your phone

Only when you choose to send it:

• Email: reports, pay stubs and packages you email open in your own email app and go to the people you address them to.
• Print and share: PDFs you print or share go to the printer or app you pick.
• Backups: a backup file goes wherever you save it, such as Google Drive or your Downloads folder. That service’s own privacy policy applies to the copy you store there.

The app has no advertising and no analytics or tracking code, and we don’t sell or share personal information.

Future features

We plan an optional feature that reads unusual settlement statements using an AI service. If it’s added, it will be off unless you turn it on, it will tell you what is sent before anything is sent, and this policy will be updated first.

This website

This website uses no cookies, analytics or advertising. It is hosted on Google Firebase Hosting, which may log basic request information (such as IP address and browser type) to deliver and protect the site. If you email us, we use your message and address only to reply.

Beta sign-up

To download the beta, we ask for your email address. It is stored in Google Firebase (Cloud Firestore) with the date you signed up and whether you asked for update emails. We use it only to run the beta: to email you about new versions if you ticked that box, and to contact you about problems with the beta. We never sell or share it. To have your email removed, write to help@settlementbooks.com.

Deleting your information

You can delete any entry in the app. Uninstalling the app deletes everything it stored on the phone. Backup files you saved elsewhere stay there until you delete them.

Children

SettlementBooks is a business tool and isn’t directed to children under 13.

Changes

If this policy changes, we’ll update the date above and post the new version here.
